The process

What happens after you request equipment.

Every transaction follows the same clear sequence. Nothing is ordered automatically. Each stage is confirmed with you before the next one begins.

Step 01

Submit your request

Send us an RFQ (Request for Quote). The more you can tell us, the faster we can respond, but you don’t need every detail to start.

Request a Quote

Your request can include

  • Equipment or part required
  • Manufacturer or preferred brand
  • Model
  • Quantity
  • New or used condition
  • Technical specifications
  • Destination country
  • Destination port
  • Preferred delivery timeline

Step 02

Procurement engagement

Once your requirements have been reviewed and accepted, we confirm the engagement and you enter our procurement process.

Procurement activities (sourcing, supplier engagement, reservations and inspections) begin once the Procurement & Sourcing Fee has been received and cleared.

5%

Procurement & Sourcing Feeof the procurement value, separate from the equipment price

A 5% procurement and sourcing fee is payable upon engagement and before procurement activities commence. This covers the initial sourcing, supplier engagement, commercial coordination, verification, and procurement administration required to begin the transaction.

How it fits into the payment structure

Step 03

Supplier sourcing & verification

We source and verify appropriate suppliers based on your requirements. Where applicable, this can include the checks listed here.

Sourcing & verification

  • Supplier verification
  • Equipment availability confirmation
  • Price negotiation
  • Technical specification verification
  • Manufacturing year verification
  • Serial / chassis identification
  • Warranty confirmation
  • Country-of-origin confirmation
  • Spare-parts availability
  • Lead-time verification
  • Export eligibility
  • Shipping feasibility

Depending on the product and transaction.

Step 04

Quotation & proforma invoice

After sourcing and commercial confirmation, you receive the formal commercial documentation for your transaction.

Your quotation may include

  • Equipment description
  • Manufacturer
  • Model
  • Quantity
  • Unit price
  • Total price
  • Country of origin
  • Delivery terms
  • Incoterm
  • Port of loading
  • Destination
  • Estimated lead time
  • Payment terms
  • Quotation validity

International trade terms

Delivery responsibilities may be structured using internationally recognized Incoterms®, including terms such as EXW, FCA, FOB, CFR, or CIF depending on the transaction.

Standard Payment Structure

Payment Structure

Payment arrangements may vary depending on the equipment, supplier, transaction value, destination, financing arrangement, and agreed contract. Our standard commercial structure has three stages.

Separate procurement fee

Procurement Engagement

5%

Procurement & Sourcing Fee

Paid before procurement activities commence.

Equipment purchase price

Equipment Order

70%

Initial Equipment Payment

Paid after approval of the quotation / proforma invoice and before the equipment order is placed or confirmed.

Pre-Shipment Balance

30%

Final Equipment Payment

Paid in accordance with the agreed commercial terms, generally following pre-shipment verification / inspection and before shipment or release of shipping documents.

The 5% Procurement & Sourcing Fee is a separate fee from the transaction cost. It is charged in addition to the equipment purchase price, not as part of it.

70/30 represents our standard commercial payment structure and may be adjusted depending on the transaction.

For qualifying transactions, alternative payment arrangements such as Letters of Credit or other mutually agreed banking instruments may be considered.

All transactions remain subject to the customer's final quotation, Proforma Invoice, Procurement Agreement and applicable transaction terms.

Secure transactions

Pay only against official documents.

High-value international payments deserve extra care. These rules apply to every transaction.

Payment security

For your protection, payment instructions are provided only through official company quotations, invoices, contracts, and authorized company communication channels. Customers should verify beneficiary details before transferring funds.

We will never request that payments be sent to an unrelated personal bank account.

Bank details are never published on this website. They appear only on official Rovant Ltd invoices and transaction documents. If you receive a message saying our bank details have changed, call +44 7727 758740 to confirm before sending any money.

Before shipment

Inspection & pre-shipment verification.

Depending on the equipment and transaction, you may receive or request supporting evidence before your equipment ships.

Evidence you may receive or request

  • Equipment photographs
  • Video inspection
  • Serial / chassis numbers
  • Equipment condition reports
  • Third-party inspection reports
  • Packing information
  • Commercial invoice
  • Packing list
  • Loading photographs
  • Shipping information

Buying used equipment?

Inspection matters most for used machines. Before shipment, ask for photographs, a walk-around video, serial or chassis numbers and a condition report, so you know exactly what you are buying.

Independent third-party inspection can be arranged on request. It is included only where it is purchased or agreed in your quotation.

Logistics

International shipping & logistics.

Depending on the transaction, we can coordinate shipping from the supplier or manufacturer to the agreed destination.

This may include

  • Freight quotation
  • Export documentation
  • Container booking
  • RoRo shipping where appropriate
  • Breakbulk / project cargo where appropriate
  • Inland transportation
  • Port coordination
  • Cargo insurance arrangements where agreed
  • Customs-document preparation
  • Shipment tracking
  • Destination documentation

Customs, duties and local requirements

Destination customs clearance, duties, taxes, permits, inspections, and local regulatory requirements will be allocated according to the agreed Incoterm and transaction documents.

Once your shipment is on its way, follow it with your tracking number on Track Your Order.
